If you have any questions about this privacy notice or how we use your personal data, please contact us using the details above.
2. The information we collect
We may collect and process the following personal information:
-
your name;
-
your email address;
-
your phone number;
-
your job title and organisation;
-
billing and payment information where relevant;
-
course, webinar or event booking details;
-
records of your communications with us;
-
marketing preferences and consent records;
-
attendance, participation or certificate records;
-
technical information submitted through our website or booking systems, such as IP address or browser data, where applicable.
3. How we use your information
We use your personal information to:
-
administer bookings for webinars, courses, memberships and events;
-
send you service information about the product or service you have signed up for;
-
provide learning materials, certificates and follow-up resources;
-
respond to your enquiries;
-
manage payments and accounts;
-
improve our services and educational content;

send you updates, news, offers and information about Upskill for Frailty where you have consented to this, or where otherwise permitted by law;
-
manage sponsor-related communications where you have separately agreed to this;
-
comply with legal, regulatory and accounting obligations.
4. Our lawful bases for using your information
We use personal data under one or more of the following lawful bases:
-
Contract – where we need to provide the course, webinar, event, membership or service you have requested.
-
Legal obligation – where we must keep certain records for tax, accounting or legal reasons.
-
Legitimate interests – where it is necessary for running and improving our services, provided your rights do not override those interests.
-
Consent – where we send you marketing emails or add you to mailing lists that require your permission.
5. Marketing and keeping you up to date
If you choose to opt in, we may send you emails about:
-
upcoming webinars, courses and events;
-
new resources, offers and services;
-
educational news and updates relevant to Upskill for Frailty.
We will only send these marketing updates where we have an appropriate lawful basis, and where consent is relied on, you can withdraw it at any time by clicking the unsubscribe link in any marketing email or by contacting us directly. The ICO says consent for electronic marketing must be specific and easy to withdraw, and people must be told they can withdraw consent at any time.
If you unsubscribe from marketing, we will stop sending you those messages. We may keep limited information on a suppression list so that we can make sure we do not contact you again in error. The ICO specifically recommends maintaining a “do not contact” or suppression list when someone unsubscribes or withdraws consent.
Please note that unsubscribing from marketing emails will not stop essential service messages relating to a booking, purchase, course access or account administration.
6. Sponsor communications
From time to time, a webinar, event or educational programme may be supported by a sponsor.
We will not add you to a sponsor’s mailing list unless you have given clear, separate consent to this. Any such consent will be optional and will not be a condition of signing up for our event, webinar or course unless that sharing is genuinely necessary for the service being provided. ICO guidance is clear that consent must be freely given, and third-party marketing consent must identify the specific organisations relying on it rather than broad categories.
Where we ask for this consent:
-
the sponsor will be clearly named;
-
the choice will be separate from consent to hear from Upskill for Frailty;
-
you can refuse without affecting your access to our main service, unless the sharing is strictly necessary for delivery;
-
you can later withdraw your consent directly with that sponsor or by contacting us if appropriate.
If your details are shared with a named sponsor because you have asked us to do so, that sponsor will usually become a separate data controller for its own marketing and communications, and its own privacy notice will apply to how it uses your information. The ICO says consent for third-party controllers should name those organisations specifically.
7. Who we share your information with
We may share your information with trusted service providers who help us run Upskill for Frailty, such as:
-
website and booking platform providers;
-
email marketing systems;
-
payment processors;
-
webinar and video platform providers;
-
IT and administration support services;
-
accountants, advisers or regulators where required.
We only share information where necessary and we expect our processors and partners to handle your data securely and lawfully.
We do not sell your personal data.
8. International transfers
Where any of our service providers process personal data outside the UK, we will take appropriate steps to ensure your data remains protected in line with UK data protection law, such as using appropriate safeguards where required.
9. How long we keep your information
We keep personal data only for as long as necessary for the purposes for which it was collected, including for legal, accounting and administrative purposes.
In general:
-
enquiry data may be kept for up to [12–24 months];
-
course and webinar records may be kept for up to [6 years];
-
marketing consent records may be kept for as long as relevant to demonstrate compliance;
-
suppression list information may be kept for as long as needed to ensure we honour unsubscribe requests.
The ICO says privacy information should explain retention periods, or at least the criteria used to decide them.
10. Your data protection rights
Under UK data protection law, you may have the right to:
-
request access to your personal data;
-
ask us to correct inaccurate data;
-
ask us to erase your data in some circumstances;
-
ask us to restrict how we use your data in some circumstances;
-
object to certain uses of your data;
-
withdraw consent at any time where consent is the basis we rely on;
-
request data portability where applicable.
The ICO states that privacy notices should tell people about these rights and how they can complain.
To exercise any of these rights, please contact us at: [insert email]
11. Complaints
If you are unhappy with how we use your personal data, please contact us first so we can try to resolve the issue.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection issues. The ICO expects privacy notices to explain that people can complain if they have concerns.
12. Cookies and website data
If you use our website, we may collect limited technical information and use cookies or similar technologies. Where required, we will ask for your consent before using non-essential cookies. More information will be set out in our cookie notice if applicable.
